Overview
The process documentation will go over how to use ‘Sales Divisions’ within Savance Enterprise. Sales Divisions are used mainly to track sales and returns in multiple locations for different “divisions” within the same company. Using Sales Divisions will also assist in sales reporting and commissions.
Create/Manage Sales Divisions
To create and maintain go to Admin > Administrator.
While on the ‘Sites’ tab select the ‘Sales Divisions’ subtab
To create a new sales division select ‘New’. Then select ‘ Click here to add a new row’.
Next, enter the Name of the Sales Division and Description. NOTE: You can not have duplicate sale divisions.
Once the Name and Description fields are complete, select ‘Add’.
Continue this process until all ‘Sales Divisions’ are entered for your business. Then select ‘Add’ at the bottom to save.
In the event you need to edit a sales division on the same tab select ‘Edit’.
Next, select the row you want to update, and under the Actions, column selects the pencil icon to edit.
Finally, make your changes and select ‘Update’ to save your changes. NOTE: You can not delete a sales division if users are assigned to it.
WebStore Settings
Once you have created your webstore or are in the process of creating a webstore with Savance you also have the option to allow users to decide which sales division upon checkout or choose a default division for all web orders.
Admin > Administrator.
Next, go to the ‘Sites’ > ‘Web Settings’ sub-tab.
On this tab under the ‘Default Web Sales Division’ field select your preferred setting for your webstore from the drop-down menu
Once you’ve assigned your selection, select ‘Update’ to save your changes.
Assigning Sales Divisions
Once you have created your sales divisions, it is now time to assign them to a User. Go to Admin > Administrator > Users
Next select the user you want to assign a sales division to and select ‘Edit’.
Using the drop-down menu on the Sales Division field, select the appropriate division for that user. If none apply just leave blank.
Once assigned, select ‘Update’ to save your changes.
Sales and Returns Tracking
Entering Orders/Returns
Now that you have your sales divisions created and assigned to specific users this information will now be tracked when placing orders or making a return.
When placing an order or return by default the ‘User’ entering the order will default within the header information.
NOTE: If you are placing an order at a different computer (i.e. sales counter) that is logged in under another user you need to make sure that you update the owner here before you convert the order.
Continue to enter the order/return as the normal process.
To view the Sales Division assigned within the order go to the ‘Summary’ > ‘Sales’ tab.
The Sales Division by default will be displayed based on the user/owner that entered the order. For any reason, you need to override the division, select it from the drop-down menu here.
Once the order/return is complete select ‘Convert’ to process.
Account Manager
Another way to view sales for a sales division is through the Account Manager. Go to Accounts > Manage Accounts and search for the specific account you want to view.
In the Account Overview within the ‘Statistic’ section, you can choose a Sales Division you’d like to view from the drop-down.
Once selected the sales statistics will appear for this account and sales division.
Reporting
Sales Reports
To view sales division reports go to Reports > Reporting Engine
Select the Sales report you wish to view. For example, in the screenshot below the ‘Customer Sales Summary’ has been selected.
Using the filters I can view a specific account, view all accounts, choose a specific Sales Division or select ‘All’ to view everything.
Once all filters have been assigned select ‘Preview’ to run the report. Once the report is finished it will automatically display the report, that you can download or print.
Sales Commission Reports
When running a Sales Commission report, you will have the ability to filter by sales division. To run this report go to Accounting > Accounting Manager > Commissions
To generate a Commission’s report select all or a specific Sales Rep. The type of report you want to run and the settings. You can also choose a Sales Division from the drop-down or run with for all.
Once you’ve set your filter select ‘Generate Reports’. The report will automatically display when completed. From here you can print, download, and or email.
